Patient acquisition audit for clinics and wellness centres

In two weeks we show you where enquiries and patients are lost, which services deserve investment first and what the fix would cost.

Office hours: Mon–Fri, 09:00–18:00 local time in both studios

The patient acquisition audit by Ocean Partners Consulting, the marketing, CRM and AI consultancy operating from Barcelona and Dubai, is a two-week review of how your clinic or studio attracts, answers, converts and retains patients. It costs AED 4,500, excluding VAT, and is deducted in full from the system setup if you sign within 30 days.

What the patient acquisition audit answers

At the end of the two weeks you will have clear answers to the questions owners usually cannot answer from their current reports:

  • Which of your services are worth investing in first, and which are not.
  • Where enquiries are lost: before contact, during the first response, in follow-up or after the first visit.
  • How long it really takes your team to answer a new enquiry, at different times of the day and week.
  • What you currently pay for a new patient per service, where your data allows it, and what data is missing if it does not.
  • How many past patients could be contacted again, with the right consent.

What we review

The audit follows the same five layers as our patient acquisition system.

Attract

Your Meta and Google Ads accounts, campaign structure per service, landing pages, ad creatives and tracking.

Respond

Your enquiry channels (WhatsApp, Instagram, website forms, phone) and how quickly and consistently each one is answered.

Convert

How enquiries are recorded, followed up and turned into booked appointments, and whether your booking or practice-management system can connect to a CRM.

Retain

What happens after treatment: reactivation, packages, memberships, reviews and the consent status of your patient base.

Measure

Which indicators you can report today and which you cannot: cost per patient, contact-to-appointment conversion, new memberships, reactivated patients and response time.

We also flag ad claims, images and testimonials that look inconsistent with the DHA Standards for Medical Advertisement Content on Social Media, recirculated by DHA in August 2026, for your medical director to review. This is not legal advice.

What you receive

  • A map of where enquiries and patients are lost, layer by layer.
  • A ranked list of priority services, with the reasoning behind each.
  • A baseline of your current indicators, and the gaps in your data.
  • An integration assessment for your booking or practice-management system.
  • A 90-day plan you can execute with us or without us.
  • A fixed proposal for the setup and the monthly plan that fits, with recommended ad spend. See plans and pricing.

Who it’s for

The audit is designed for physiotherapy and multidisciplinary clinics, boutique training and rehabilitation studios, and longevity, recovery and premium wellness centres in the UAE. It is most useful if you have a team of three or more professionals, at least one high-ticket service, package or membership, and you want to stop depending only on word of mouth.

What the audit is not

  • It is not a free sales call. It is a paid piece of work with written deliverables.
  • It is not a legal or regulatory review.
  • It does not require, and we do not accept, clinical records.
  • It does not promise a number of patients. It shows you where the opportunity is and what it would take.

How it works

An indicative two-week timeline:

  1. Kick-off call. Goals, services, team and current tools.
  2. Access and data (days 1–3). Read-only access to ad accounts, analytics and enquiry channels.
  3. Analysis (days 4–10). Review of each layer, response-time checks and integration assessment.
  4. Results session (end of week 2). Findings, priority services, 90-day plan and proposal.

Next step

Book your audit using the form below. Tell us which services you want to grow and which systems you use today; we will confirm the kick-off date and send the access checklist. If you want to understand the specific channels first, read about the AI receptionist for clinics or HubSpot for clinics.

What clinics ask before we start.

How much does the patient acquisition audit cost?
The audit costs AED 4,500, excluding VAT. If you sign the system setup within 30 days of receiving the results, the full amount is deducted from the setup fee. If you decide not to continue, you keep every deliverable and can execute the plan with your own team or with another provider.
How long does the audit take and how much of our time does it need?
The audit takes two weeks from the kick-off call. We need a kick-off session with the owner or medical director, read-only access to your ad accounts, analytics and enquiry channels, and a short conversation with whoever handles reception. Everything else is done by our team. The final session presents the findings and the 90-day plan.
Do you need access to patient records?
No. We never need clinical records, notes or diagnoses. We work with marketing and operational data: ad accounts, website analytics, enquiry volumes, response times and, where available, anonymised or aggregated appointment counts per service. If any export contains clinical information, we ask you to remove it before sharing.
Will the audit check whether our ads comply with DHA rules?
We flag claims, images and testimonials in your current ads that look inconsistent with the DHA Standards for Medical Advertisement Content on Social Media, so your medical director can review them. This is a marketing review, not legal advice; licences, permits and final compliance decisions remain with your facility and your advisers.
Does the audit check our booking or practice-management system?
Yes. Integration is validated during the audit. We check whether your booking or practice-management system can share appointment status with a CRM through an API, webhooks or a scheduled export, and we tell you which option is realistic before you commit to a setup. Your clinical system stays as it is.
