An AI receptionist for clinics answers patient enquiries on WhatsApp, Instagram and your website within minutes, 24 hours a day, qualifies them and proposes an appointment before handing over to your reception team. Ocean Partners Consulting, a marketing, CRM and AI consultancy operating from Barcelona and Dubai, builds it as the first-response layer of a complete patient acquisition system. It never diagnoses.
Why a medical clinic needs an AI receptionist
Patients write when it suits them: late at night, at weekends, during the lunch break. Reception teams are busy with the people in front of them, so messages queue up. By the time someone replies, the person may have booked elsewhere or lost interest.
An AI receptionist does not replace your team. It covers the gap between the moment a patient asks and the moment a person can answer, and it makes sure no enquiry is forgotten.
What the AI receptionist does
- Replies within minutes, 24/7, on WhatsApp, Instagram direct messages and your website.
- Answers approved questions about services, opening hours, locations, parking, languages spoken and, if you choose, prices or price ranges.
- Qualifies the enquiry: which service, new or returning patient, preferred times, how they heard about you.
- Proposes an appointment, either with real availability or a booking link where your system allows it, or with preferred slots for reception to confirm.
- Logs everything in the CRM, with the service, source and conversation, so reception sees the full context.
- Hands off to a person whenever the conversation needs one, with a clear summary.
It is configured with your services, tone and rules during the setup and tuned every month based on real conversations. We configure the languages your patients actually write in.
What it does not do
- It never diagnoses, assesses symptoms or interprets test results.
- It never recommends treatments, doses or exercises.
- It never promises outcomes, discounts or availability it cannot confirm.
- It does not handle emergencies; it directs the person to emergency services.
- It does not store clinical information in the marketing CRM.
When in doubt, the agent hands over. Rules are explicit, tested before launch and reviewed monthly.
How we set it up
The agent is configured during the system setup, which takes four to six weeks in total.
- Knowledge base. We document your services, opening hours, locations and the answers you approve. Nothing is published that your team has not signed off.
- Rules. We define what the agent may answer, when it must hand over and which topics it must never discuss.
- Testing. We run realistic test conversations, including clinical questions and edge cases, before any patient talks to it.
- Launch. The agent goes live on the agreed channels, connected to the single inbox and the CRM.
- Monthly tuning. Every month we review real conversations, close gaps in the knowledge base and adjust the rules.
How handoff to reception works
Handoff is triggered when a patient asks for a person, raises a clinical question, has a complaint, needs something the agent is not allowed to answer, or is ready to confirm a booking that requires a human. Reception receives the conversation in the single inbox with a short summary and the pipeline stage already updated. During opening hours your team takes over in real time; outside them, the patient is told when to expect a call or message.
Data protection and DHA considerations
Two frameworks matter most for an AI receptionist in Dubai.
Personal data. Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data treats information about a person’s health as sensitive personal data, requires consent to be specific, clear and withdrawable, and gives individuals the right to object to processing for direct marketing. Health data also has its own sector legislation, as the UAE Government portal explains. Our design response is data minimisation: the agent asks only what is needed to book, marketing messages go only to people who have opted in, and we sign a data processing agreement with you.
Health advertising and social media. DHA’s Standards for Medical Advertisement Content on Social Media (DHA/HRS/HPSD/ST-21), recirculated in August 2026, ask medical directors to protect patient health information on social media and to avoid social media discussions in which patients may disclose health details. That is why, on Instagram and other social channels, the agent keeps conversations administrative and moves anything clinical to a private channel with your team.
This is how we design the agent, not legal advice. Your legal adviser and medical director should confirm your obligations.
Who it’s for
- Clinics and wellness centres that receive a meaningful share of enquiries through WhatsApp and Instagram.
- Teams whose reception is busy with in-person patients during peak hours.
- Centres that advertise and want every paid enquiry answered quickly.
What we don’t do
- We don’t sell a standalone chatbot without the CRM, follow-up and measurement behind it.
- We don’t let the agent answer clinical questions, under any configuration.
- We don’t promise a number of bookings.
Part of a system, not a gadget
The AI receptionist is the Respond layer of our five-layer patient acquisition system. On its own it saves time; connected to campaigns per service and a CRM such as HubSpot for clinics, it shows you which services and channels produce booked appointments. Pricing for every plan is on the plans and pricing page.
Next step
Book the patient acquisition audit. We measure how quickly your enquiries are answered today, check whether your booking system can connect to the agent and define the rules it must follow. The AED 4,500 fee is deducted from the setup if you sign within 30 days.
