HubSpot for clinics means using HubSpot as the commercial engine of your clinic: every enquiry in one inbox, a pipeline per high-value service, automated reminders and follow-up, and reporting on cost per patient. Ocean Partners Consulting, an official HubSpot partner operating from Barcelona and Dubai, implements it alongside your practice-management or booking system, never instead of it.

Why clinics need a CRM, not just a booking system

Booking and practice-management systems are built to run the clinic: appointments, records, invoices. They are not built to answer the commercial questions an owner asks every month:

  • How many enquiries did each service receive, and from which channel?
  • How many became booked appointments, and how long did it take to answer them?
  • Which patients have not returned in six months, and which of them consented to hear from us?
  • What does a new patient for this programme actually cost us?

A CRM for clinics in the UAE fills that gap. As a HubSpot partner in Dubai, we design it for clinics around patient acquisition rather than generic sales. It sits between your campaigns and your clinical system, so marketing becomes measurable without touching clinical records.

What we build in HubSpot for clinics

One pipeline per high-value service

Each service you want to grow, such as a rehabilitation programme, a membership or an assessment, has its own pipeline with stages that mirror the patient journey: new enquiry, contacted, appointment proposed, booked, attended, package or membership purchased. You see where each service loses people.

A single inbox

WhatsApp, Instagram direct messages, website forms and email land in one place, assigned to the right person, with the full history of each contact. The AI receptionist gives the first response and logs the conversation, and reception picks up from there.

Automated follow-up and reminders

Reminders before appointments, follow-up after a consultation that did not convert, tasks for reception when an enquiry has not been answered in time, and reactivation sequences for patients inactive for one month and for six months or more, sent only to people who have consented.

Dashboards an owner can read

Cost per patient per service, contact-to-appointment conversion, response time, new memberships and reactivated patients, in one view. Managers can filter by service, channel, location or period, and the same dashboard is used in the monthly review, so everyone discusses the same numbers.

Both options include pipelines per service, a single inbox, reminders, reactivation and reporting. The audit recommends one based on your volume, team and budget.

How the implementation runs

The CRM is built during the system setup, which takes four to six weeks:

  1. Design. We agree the services that get their own pipeline, the stages, the consent fields and the reports you need.
  2. Build. Pipelines, properties, the single inbox and the connection with the AI agent and your web forms.
  3. Integration. The sync option validated in the audit, with your booking or practice-management system.
  4. Automations. Reminders, follow-up, reactivation and the alerts reception needs.
  5. Training. Sessions for reception and managers, so the data stays accurate after launch.

Working alongside your practice-management or booking system

Your existing system stays as the system of record for appointments, clinical notes and billing. The CRM only needs to know whether an appointment was booked and attended, not why the patient came. There are usually three ways to keep both in sync:

  1. Direct integration through the booking system’s API or webhooks, updating appointment status automatically.
  2. Scheduled export of appointment status, imported into the CRM on a regular basis.
  3. Reception workflow, where staff update a single field in the CRM when an appointment is confirmed.

Which option is realistic depends on your system. We validate it during the patient acquisition audit, before you commit to a setup.

Data protection

Federal Decree-Law No. 45 of 2021, the UAE Personal Data Protection Law, treats health information as sensitive personal data and gives individuals the right to object to direct marketing. Our design rules follow from that: no clinical data in the CRM, explicit consent recorded before any marketing message, role-based access and a data processing agreement with every client. We do not give legal advice; your adviser should confirm your obligations.

Who it’s for

  • Physiotherapy, multidisciplinary, longevity and wellness clinics with several high-value services.
  • Training and recovery studios selling memberships and packs.
  • Teams of three or more professionals who want to measure marketing in appointments and revenue.

What we don’t do

  • We don’t replace your practice-management or booking system.
  • We don’t store clinical notes, diagnoses or results in the CRM.
  • We don’t sell HubSpot licences you do not need.
  • We don’t implement a CRM without the process and training to keep it accurate.

Part of the patient acquisition system

The CRM is the Convert layer of our five-layer system for clinics. It is configured during the setup, from AED 15,000, and maintained in every monthly plan; see the plans and pricing page. For membership-led centres, see also longevity clinic marketing.

Next step

Book the patient acquisition audit. In two weeks we review your current tools, validate whether your booking system can connect to a CRM and recommend HubSpot or a custom Ocean CRM for your centre. The AED 4,500 fee is deducted from the setup if you sign within 30 days.

What clinics ask before we start.

Do we need HubSpot if we already have a practice-management system?
Usually yes, because they do different jobs. Your practice-management or booking system manages appointments, clinical records and billing. A CRM like HubSpot manages the commercial side: enquiries from every channel, follow-up, pipelines per service, consented marketing and reporting on cost per patient. The two work side by side, and clinical data stays in the clinical system.
Is HubSpot the right CRM for a small clinic or studio?
Not always. HubSpot is our standard for clinics and centres that need multi-channel pipelines, marketing automation and reporting at scale. For smaller centres we can deploy a custom Ocean CRM with your branding, covering pipelines, inbox, reminders and reactivation at a lower running cost. The audit recommends one or the other based on your volume and team.
Are you an official HubSpot partner in Dubai?
Ocean Partners Consulting is an official HubSpot partner with operations in Barcelona and Dubai. We implement HubSpot for clients across Europe and the Middle East, including data model, pipelines, automations, dashboards and team training. For clinics we add the patient acquisition layers: campaigns per service, AI first response and retention.
Can HubSpot connect to our booking system?
Often, but it depends on the system. During the audit we check whether your booking or practice-management platform exposes an API, webhooks or a scheduled export that can update appointment status in HubSpot. We confirm the realistic option, and its limits, before you sign a setup. If no integration is viable, we design a simple reception workflow instead.
Is patient data safe in HubSpot?
We keep clinical data out of HubSpot entirely. The CRM holds contact details, consent status, service of interest and pipeline stage, never diagnoses, notes or results. Access is restricted by role, and we sign a data processing agreement aligned with the UAE PDPL. Your legal adviser should confirm your specific obligations; we do not give legal advice.
How much does a HubSpot setup for a clinic cost?
The system setup, including the CRM, starts from AED 15,000 and takes four to six weeks, after an AED 4,500 audit that is deducted from the setup. Monthly plans start from AED 2,500. HubSpot licences are separate and depend on the edition you need, which we size during the audit. Prices exclude VAT.
